TERMS AND CONDITIONS

By booking or participating in a tour and any related product or service (a “Tour”) with EXPLORAPE (“Tour Operator”), you (“you”) agree to these Terms and Conditions (“Terms”).

RESERVATIONS – BOOKINGS

Your reservation is confirmed and a contract exists when the tour operator or its travel agent issues a written confirmation after receiving the applicable deposit amount. Please check your confirmation carefully and report any incorrect or incomplete information to the Tour Operator or its authorised agent immediately. Please ensure that the names are exactly as they appear in the relevant passport.

You will pay a deposit which is not refundable in any situation. There are no exceptions.
You will be asked to show the original passport (not a copy) with which you booked, at the checkpoint for access to various tourist sites. If you originally booked with an old passport and then renewed your passport, you must also bring your expired passport along with your new valid passport to allow entry or you will be refused entry to the road.

The only acceptable identification to receive a student discount is your university card with a clear expiration date that must be the same year of travel. IDs with an expiration date in the following year, even if clearly valid, will not be accepted by the Peruvian government. You must present a copy of this card at the time of booking.

CANCELLATIONS

Cancellations: Your deposit is 100% non-refundable. If you need to cancel for any reason, as the start date of your tour approaches, there may be an additional cost. There are absolutely no exceptions (we do not accept medical notes of any kind) as we have advance expenses to guarantee your service.

ONCE BOOKED, DEPOSITS ARE NON-REFUNDABLE. THE TABLE BELOW SUMMARIZES THE ADDITIONAL COSTS TO BE PAID.

TICKETS OR ENTRANCES

There are some entries that have no option to change or transfer to others, such as the CAMINO INCA.

The permits for the CAMINO INCA are in your name and cannot be transferred to anyone else under any circumstances. Changing dates is also not possible once the permit has been purchased. Permits are non-refundable and non-transferable. The deposit will be confiscated. Please note that this is a regulation of the Peruvian government and not of EXPLORAPE (or any other agency).
In extreme cases when the “Inca Trail to Machu Picchu” is declared closed for safety reasons, EXPLORAPE will replace your hike with an alternative hike.
Those who booked the permits with a student card must carry that card with them on the trek. If they do not show this card to the rangers, they will not be allowed to enter the trail.

MEDICAL INFORMATION

You should notify EXPLORAPE of any medical problems or allergies you have. You need to be in good physical health, and if your health is questionable, then you should consult a doctor. If you are over 70 years old, you must provide us with a current medical certificate of good health.

You are responsible for evaluating whether a tour is right for you. You should consult your doctor to confirm your fitness to travel and participate in any planned activities. You should seek your doctor’s advice on vaccinations and medical precautions. The Tour Operator does not give medical advice. It is your responsibility to evaluate the risks and requirements of each aspect of the Tour based on your own circumstances, limitations, level of fitness and medical requirements.

EXPLORAPE reserves the right to deny you permission to travel or participate in any aspect of the Tour at any time and at your own risk and expense when the Tour Operator determines that your physical or mental condition makes you unfit to travel or that you pose a danger to yourself or others.

Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The company can refuse to transport pregnant women over 24 weeks. The company may refuse to transport any person with certain medical conditions if reasonable accommodations or alternatives cannot be arranged.

It is recommended that you purchase travel insurance to protect yourself in the event of a medical emergency or any cancellation of your trip. (For some tours this insurance will be mandatory)

TOURS AND HIKES

All balances must be paid in cash, credit card, debit card, PayPal or Wester Union (in full) before the information session to be held the night before your visit. Most cards incur a 6% service charge and if you need to use another card, it must be through PayPal which incurs a 7% service charge.

You must advise your guide if you wish to leave the group or the campsite for independent tours or sightseeing. If you have any problems with the guide’s services or the tour, please let the guide know at that time, so that he can resolve any problems.

All adventure trips include transportation to Cusco. The route of the return train depends on the availability of the train (Read what is included and what is not in each tour you contract).

If you get sick or injured on the way and cannot continue, a porter will be provided to accompany you back to an area with emergency assistance capacity. Helicopter lifts and medical assistance are at the expense of the walker. If you are unable to complete the tour due to illness, we will help you meet your group at Machu Picchu to resume the tour at that point. There will be no refund of the original payment. However, we will prepare a document to certify the illness that can be submitted for your travel insurance.

EXPLORAPE will take all reasonable care to prevent our clients from accidents, illness and loss of personal property, and will only employ properly qualified personnel. We accept responsibility for the actions of our own employees. EXPLORAPE cannot, however, be responsible for any actions of third parties. You are fully responsible for your own personal property and for the equipment rented.

EXPLORAPE cannot be held responsible for unfavorable weather conditions, natural disasters, strikes, accidents, diseases, injuries, loss of personal items, etc. It is the client’s responsibility to have insurance that covers this type of event. We reserve the right to modify or cancel the program due to any of the above mentioned contingencies.

EXPLORAPE may modify its itinerary when reasonably necessary at its sole discretion.
Group visits can be up to 16 participants. Groups are open to everyone, regardless of ability or age. By accepting a group tour you acknowledge that others may change the speed and timing of the tour.

SHARED SERVICE

EXPLORAPE does not operate this type of tour, this is the cheapest option available, and the tours are operated by other local companies, each of these operators has its own terms and conditions. Explorape is not responsible for actions and situations incurred by this operator.
